Get started with CertManager

Get an overview of CertManager and the steps to set up your account, add your data, and start managing exemptions.

What is CertManager?

CertManager is a cloud-based solution designed to manage your customers' exemption certificates. With CertManager, you can store certificate and exemption data, run reports, and email customers about their exemptions. CertManager integrates with Tax Determination, so your tax calculations use the most up-to-date exemption data.

Account setup

After you purchase CertManager, the Professional Services team contacts you to begin the onboarding process. Professional Services sets up your account and provides access to your team members. If you need help during this process, contact your account manager.

Initial data setup

How you set up your customer and certificate data depends on whether you purchased one-time certificate conversion or not.

With one-time certificate conversion

One-time certificate conversion is available as an add-on for both CertManager and CertManager Managed Services.

  1. Provide Professional Services with your customer list and existing certificate PDFs.

  2. Professional Services uploads your customer and certificate data into CertManager and adds expiration periods.

  3. The Managed Services team reviews each certificate PDF, extracts the certificate details, and creates exemption records in CertManager. If a certificate is incomplete or invalid, the exemption is flagged.

Without one-time certificate conversion

If you did not purchase one-time certificate conversion, your team is responsible for adding your customers, certificates, and exemptions to CertManager.

  1. Initial setup:

    1. Add your customers one by one or add multiple customers at the same time.

    2. Add expiration periods.

    3. If you upload customers, exemptions, or both using a custom file, map the fields in your files to CertManager fields.

  2. Add your existing certificates.

  3. Add exemptions.

Ongoing certificate management

How you manage certificates and exemptions on an ongoing basis depends on whether you purchased CertManager or CertManager Managed Services.

CertManager

Your team is responsible for adding and maintaining certificates and exemptions in CertManager.

  1. Send emails to customers about expiring exemptions so they can submit new certificates.

  2. Run reports to track expired or missing certificates.

  3. Add and update certificates and exemptions as needed.

CertManager Managed Services

The Managed Services team handles certificate processing on your behalf. Your team submits new certificates and monitors exemption status in CertManager.

  1. Submit new and updated certificates to Sovos after you receive them from customers.

  2. Sovos reviews the certificates and flags the ones that are incomplete or invalid.

  3. Sovos converts the certificates into exemptions.

  4. Log in to CertManager to monitor exemption status, run reports, and manage customers.
