Locations

Learn how to add, edit, and deactivate locations in Sales Tax Filing.

A location, also called an outlet, is an individual place of business, such as a store, branch, warehouse, or job site.

Some tax authorities require sales to be reported separately by location. For these outlet returns, Sales Tax Filing uses locations to associate transactions with the correct outlet on the return.

You only need to add locations if you have outlet returns set up in State and Local Returns. If you do not have any outlet returns, you do not need to create locations.

Add a location

  • Before you add a location, set up the applicable return in State and Local Returns. The Return dropdown on the Locations page only includes returns that already exist there.

  1. Go to Settings > Locations and click Add.
  2. Complete the following fields:
    Legal Entity

    Select a legal entity for this location. A legal entity is the business registered with the tax authority that is responsible for filing and paying tax on this location's sales.

    Location Code

    Enter the code your organization uses to identify a location where you sell goods or services. If your business has no physical presence in the state, enter Unknown as the location code. This allows Sales Tax Filing to associate transactions that do not have a ship-from location code with the correct return.

    Return

    Select the return associated with this location.

    Note:

    The Return dropdown includes outlet returns that are already configured in State and Local Returns. If no returns are listed, you do not currently have outlet returns that require locations.

    After you select a return, more location fields display.

  3. Complete the location fields.
    The fields are specific to the return you selected.
  4. Click Save.

Add a Colorado location

  1. Go to Settings > Locations and click Import CO locations.
  2. Click Select File, then select your business location rates file from your computer.

    Your locations are imported automatically after you select the file.

    Note: The business location rates file is specific to your organization and can be downloaded from the Colorado Department of Revenue website.
  3. After your locations have been imported, click Finish.

Edit a location

Only the location code and location information can be edited.

  1. Go to Settings > Locations and click the location you want to edit.
  2. Make your changes.
  3. Click Save.

Deactivate a location

For record purposes, you can't delete locations in Sales Tax Filing. Instead, you can deactivate locations that you no longer use. Deactivated locations can't be associated with returns but are still listed on the Locations page with the Inactive status.

  1. Go to Settings > Locations.
  2. Select the box next to the location you want to deactivate.
  3. Click the Deactivate icon.
  4. Click Deactivate on the confirmation message.

Download locations

  1. Go to Settings > Locations.
  2. Click the More options icon, then click Download report.
  3. In the Download outlet report popup, select the checkbox for each legal entity whose locations you want to download.
    To download locations for all legal entities, select the Select all checkbox.
  4. Click Download.
    A CSV file with the locations for the legal entity or entities you selected is downloaded to your computer.
