Legal entity fields

Learn what each field means when you set up or edit a legal entity in Sales Tax Filing.

Legal entity (required)

The individual or organization required by the taxing authority to file and pay returns.

FEIN (required)

A federal tax identification number required to file tax returns.

Organization codes (required)

The unique code assigned to an organization. You can assign multiple OU Codes to a single legal entity.

SST Model Type (optional)

If you file returns in states that are part of the Streamlined Sales Tax program, select your model type from the dropdown menu.

SSTID (optional)

The ID number assigned to your organization as part of the Streamlined Sales Tax program.

Data processing settings

These settings determine how and when your tax data is processed for a filing period.

Date type

The date that Sales Tax Filing uses to pull data for a given filing period.

Date range

The date range that Sales Tax Filing pulls data from.

  • To pull data from the first to last day of the month, select Calendar month.

  • To pull data from a custom date range, select Custom range, then select a filing frequency from the dropdown.

Processing date

The date when Sales Tax Filing pulls in your data from Tax Determination or Batch Determination each filing period. Data is processed at 11:00 PM ET on the selected date. The latest possible processing date is the tenth business day of the date range.

Note:

To request a processing date later than the tenth business day, contact support.

When to add data to returns

By default, your data will be held for review for 24 hours after the processing date. Data that is not rejected before the deadline will automatically be added to returns.

The option to add data to returns immediately, without the 24 hour review period, is coming soon.

Data holding

Some taxing jurisdictions do not allow you to file returns with a negative total amount. If you notice that there are transactions, returns, or credits that would cause a negative total amount, you can put those transactions on hold and apply them on a future return.

Sales Tax Filing can identify when there are transactions included in a return that would cause a negative total amount and automatically puts them on hold. You can also have Sales Tax Filing flag these transactions for you to review, or you can manually hold and release data.

Select a holding option based on your preference:

Auto-hold transactions

Sales Tax Filing will identify the transactions that would cause a negative total amount on a return and put them on hold. Sales Tax Filing will also automatically release data on hold when it will no longer create a negative total amount. This is the default option.

Hold transactions with guidance

Sales Tax Filing will add a warning icon next to the transactions that would cause a negative total amount on a return. You can review these transactions and decide if they should be put on hold. Sales Tax Filing will also automatically release data on hold when it will no longer cause a negative total amount.

Manual hold

Sales Tax Filing will not take any action. You must identify if there are any transactions that would cause a negative total amount on a return and put them on hold.

Payment information

This section is for internal use by Sovos.

General Ledger payment accounts

Select Include General Ledger Payment Accounts if you want to assign separate payment accounts to individual forms of payment. The payment account information will be included in the Payment Requests document, which you can download from the Return Data page.

Banking information

Select Include banking information if you want to store banking information for reference for webfiling. You can choose to include this information in EDI files for certain returns.

Signature information

You can use this section to store information about the signee for this legal entity. You can also upload a JPEG image of the signature, which will be applied to all returns.
