Upload sales data with an existing custom template

If you are not using Tax Determination or an API to share transaction data with Sales Tax Filing, you need to upload your transactions in a file.

Important:

Transaction data must be uploaded by the fourth business day of each month. If the data is not uploaded by then, Sovos can't guarantee that the return will be filed on time in that filing period.

Before you upload your file, make sure that:

  • The file is in CSV UTF-8 format.

  • The file has the same number of columns as the template.

  • The column headers in the file match the headers in the template.

  • The dates in the file follow the date format of the template.

  • There are no blank rows or columns in the file.

  • Positive amounts are listed before negative amounts in the file.

  • Sales and purchases are in separate files.

Note: Any additional columns in your file that are not mapped in the template already will be ignored when processing the file. If you want these columns to be processed as well, map them first.
  1. Log in to Batch Determination and select your organization from the dropdown.
  2. Click Upload.
  3. In Step 2, select Custom Format.
  4. In Step 3, click Browse to select the file from your computer or drag and drop the file into the upload area, then click Next.
    If an error message is displayed, there is likely a problem with your file format.
  5. On the next page, select the template you want to use from the Import Template dropdown, then click Apply.
    Batch Determination matches the fields to the columns in your file based on the template.
  6. If everything looks correct, click Next.
    Your transaction data is uploaded to Batch Determination. When Batch Determination finishes processing your data, it displays a results screen with a summary of the uploaded transactions.
  7. Review the upload:
    • The transaction summary shows the total tax amount and exempt amount for each country and state/province. To see the amounts for individual transactions, click Download report to download the transaction details.
    • If Batch Determination ran into errors while processing your file, download the error reports.
    Note:

    Though you can save an upload with errors for filing, we recommend that you correct the issues identified in the error report and then upload the corrected file.

  8. If the data in the upload is final and will not change, click Save, then click Save for Filing on the confirmation popup.

Your transaction data will be available in Sales Tax Filing within 24 hours.
