Review data

Review your tax data each filing period before it is added to returns.

Sales Tax Filing collects your data either from Tax Determination or from files uploaded to Batch Determination. This data is processed on the day you define in your legal entity settings.

During processing, Sales Tax Filing aggregates your tax data, grouping transactions that share information into a single line. This reduces the volume of data in the system, which improves performance in filing workflows. You'll also have fewer line items to review. When processing is complete, your tax totals are listed on the Tax Summary Review page, broken down by legal entity and state. For each state, you can see the tax collected, exempt amounts, and taxable amounts.

Note:
  • If you want to trace your data back to the original invoice, run the Compliance Detail Report. It includes all individual line items with their aggregate transaction IDs.

  • Transactions with negative amounts are not aggregated.

After your data is processed, you have 24 hours to review and approve it on the Tax Summary Review page before Sales Tax Filing adds it to your returns. If you don't reject the data within 24 hours of processing, it is automatically approved and added to your returns. After that, you can still delete it on the Tax Summary Review page.

Approve data

  • Review the totals and confirm they're correct.

  1. On the Tax Summary Review page, select the checkbox next to the state or legal entity whose data you want to approve.
    To select all data, select the checkbox next to the Legal Entities column header.
  2. Click Approve.
The status of the selected data changes from Ready to review to Approved.
Add the approved data to returns by moving the returns from Ready to Adjust.
Important:

Wait 15 to 20 minutes for the data to sync before moving returns to Adjust. If you move returns to Adjust before the data completes syncing, the return amounts will be $0. If you see a zero amount, move the returns back to Ready. Then move them to Adjust to retrieve the approved data.

If you find an issue with your data after it has been approved, you can delete it.

Reject data

After you reviewed your tax data, and it's incomplete or incorrect, reject it to prevent it from being added to returns. After rejecting it, you can correct the issue.
Important: If you don't reject the data within 24 hours of processing, it is automatically approved and added to your returns. After that, you can delete it on the Tax Summary Review page.
  1. On the Tax Summary Review page, select the checkbox next to the state or legal entity whose data you want to reject.
    To select all data, select the checkbox next to the Legal Entities column header.
  2. Click Reject.
  3. Select your reason for rejecting the data and enter any additional information about the rejection, then click Reject.
    Depending on the reason you selected, you are prompted to either update your legal entity settings or reupload your data.
The selected data is rejected and the status changes from Ready to review to Rejected.
Correct the issue, then sync your data to pull in the corrected version.

Delete data

  • Move all affected returns back to Ready.

If you find an issue after your tax data has been approved, you can delete it from Sales Tax Filing.
  1. On the Tax Summary Review page, select the checkbox next to the state or legal entity whose data you want to delete.
    To select all data, select the checkbox next to the Legal Entities column header.
  2. Click Delete.
  3. In the Delete tax data popup, review the data to be deleted, then click Continue.
  4. Select the option that describes your next steps and enter any additional information, then click Continue.
  5. Enter the confirmation code, then click Confirm.
    Depending on the option you selected in the previous step, you are prompted to either update your legal entity settings or reupload your data.
Sales Tax Filing deletes the data from the Tax Summary Review page. When the data has been deleted, the status of the selected data changes from Deleting... to Deleted.
Correct the issue, then sync your data to pull in the corrected version.

Correct data

After you reject or delete data, resolve the problem before you sync the corrected data.

If the date type or date range is incorrect
Update the date type or date range in your legal entity settings.
If the uploaded data has errors
If the uploaded data is incorrect
Go to Batch Determination and upload a file with negative amounts to remove the rejected or deleted data, then upload the corrected data.
If the uploaded data is incomplete
Go to Batch Determination and upload a file with the missing data.

Sync corrected data

After you resolve the problem, sync your data to pull in the corrected version.
  1. On the Tax Summary Review page, select the checkbox next to the state or legal entity whose data you want to reprocess.
    To select all data, select the checkbox next to the Legal Entities column header.
  2. Click Sync.
    The Sync button is not available while Sales Tax Filing is deleting the old data.
The data for the selected state or legal entity is reprocessed, which may take several hours. When processing is complete, the updated totals display on the Tax Summary Review page.

Aggregated transaction fields

Sales Tax Filing aggregates transactions when all of the following fields match.

Note: Transactions with negative amounts are not aggregated.
