Property statuses
Learn about different property statuses used in the reporting process and how to change a property's status.
To keep a full audit trail of your reporting history, update the property statuses instead of permanently deleting the properties. If you delete a property, you are also deleting its audit trail.
Properties with the following statuses will not be included when you create state reports: Reported (R), Pending claim (C), Exempt (E), Paid to owner (P), On hold (H), and Voided (V).
| Letter | Status | Description |
|---|---|---|
| C | Pending claim | The owner has made contact, but the property hasn't been returned yet. It is no longer considered for escheatment to the state, but additional information is needed to return the property to the owner or verify ownership of it. You may want to use this status if a due diligence letter response came back with illegible handwriting, and you are still trying to contact the owner. |
| E | Exempt | The property meets the state's exemption criteria and doesn't need to be reported. Use the State Exemptions document on the Compliance Resources page to determine if a property is exempt. |
| F | Make reportable | The property will be included in a report even if not enough time has passed to require reporting. This status can be used if your company is going out of business, and you need to send properties to the state early. |
| H | On hold | The property will not be included in a report even if it should be reported according to state law. If you are being audited and need to report all properties for a specific year, use this status to exclude properties that the state doesn't require yet. |
| L | Preliminary | The property was included in a preliminary holder notice report to California or Puerto Rico. |
| O | Open | The property hasn't been reported or claimed by the owner yet. It has not gone through the due diligence or state reporting process. |
| P | Paid to owner | The property was returned to the owner. No further action is needed. Use this status instead of deleting the property to keep an audit trail of its reporting history. |
| R | Reported | The property was included in a final state report. |
| S | Supplemental | The property was included in a supplemental final remittance report to California or Puerto Rico. |
| V | Voided | The property was voided and does not need to be escheated to the state. For example, the property information was incorrect, or the owner said it's not their property. Use this status instead of permanently deleting the property to keep an audit trail of it and why it was removed. |
