Print W-9 solicitations

Learn how to request corrected information from recipients with mismatched names and TINs.

Collecting the correct Taxpayer Identification Number (TIN) and name from your recipients is an important step in the tax reporting process. With the W-9 solicitation feature, you can request this information from your recipients.

W-9 forms are typically sent after completing the TIN matching process to recipients with mismatched information. Correcting these errors reduces possible penalties from the IRS.

  1. Click Print on the side menu.
  2. In the Print identity management forms section, click W-9 solicitations.
    The W-9 solicitations button is highlighted.
  3. Enter the address the W-9 information should be mailed back to in the Return info section, then click Next.
  4. Review the recipients of the W-9 solicitation:
    • The W-9 recipients section will auto-populate with recipients who have a TIN mismatch error. You can also use the search bar to look up recipients by name, TIN, or account number and add them to the print order.

    • To remove a recipient that does not need to receive a W-9 form, select the checkbox next to the recipient, then click the Delete icon.The checkbox in the recipient's row and the Delete icon are highlighted.

  5. Click Next.
  6. Review your print order in the Order info section:
    • The number of W-9 solicitation recipients. Click View sample to view the W-9 solicitation sample document.

    • The flat fee and print and mailing fee.

    Note:

    The Return info section shows the information you previously entered. If you need to change it, click Setup W-9 order to go back to that step and edit the information.

  7. Click Submit.
  • Track the status of the print files in the Print status column of the Print activity section on the Print page.

  • To download the PDFs, click the W-9 solicitation print order's row, then click the Download button.
