Import data with a custom Excel file

Follow this step-by-step guide to import multiple payers, recipients, and forms in a single Excel file to make the data available for printing and transmitting.

Make sure that your file follows these formatting requirements:
  • File names
    • Should not begin with a number
    • Should not contain spaces or special characters, including hyphens
    • Should not be the same as any other file names on the File Manager page
  • Spreadsheets
    • Only the first tab of your file will be imported. If you have data in multiple tabs, reorder or merge them so the data you want to import is in the first tab.
    • Cells should be formatted as "Text"
    • Dollar amounts should be formatted as "Number"
    • Should not contain the following:
      • Frozen panes
      • Hidden columns, rows, or fields
      • Formulas
  • Column headers
    • Should not be blank
    • Should have no spaces
    • Should be shorter than 50 characters
    • Should not begin with a number (e.g. "1Box")
    • Should not be the same as any other column headers
    • Column headers/titles are case-sensitive. If you change the column headers, you must edit your existing map or create a new map.
  1. Go to Payers, Recipients, or Forms on the side menu and click Import.
  2. Select to Use a custom format.
  3. Select the type of data you want to import: payers, recipients, or forms.
    You can import any combination of these.
    1. If you select recipients or forms, you must also select a recipient and form type.
      You can only import one recipient type and one form type at a time.The data type options are highlighted.
    2. If you are importing recipients or forms, select how you want your data to be grouped in the Advanced import options section.
  4. Click Next.
  5. Upload your import file, then click Next.
    • To upload an import file from your computer, drag the file into the box or click Browse to select it.
    • To select an import file that was previously uploaded on the File Manager page, click Select an existing file and choose it from the list.
  6. Select an existing map or create a new one for each data type you are importing. Then click Next.
    A selected map and the Create a map button are highlighted.
  7. Preview your data: Click the tabs to preview different data types.

    The preview shows up to ten rows of your data.

    Note: If the columns headers do not match the column data, click Back to return to the Column mapping step and check if the import file's headers are mapped to the correct Sovos headers.
  8. Click Import.
    Important: Make sure the import button shows the correct environment and tax year.
    The Import button is highlighted.
  9. Optional: If you are importing certain form types, a bulk TIN matching pop-up appears.
    • Click Yes if you want to submit the data you are importing to the IRS Bulk TIN Matching program.
    • Click No if you do not want to submit them. Your data will still be imported.
