Email customers without a template
Learn how to create and send an email to your customers.
- Go to the Email page, then click New.
- Enter the following required information:
- Subject
- The subject line of the email
- Template name
- The name that will appear in the list of custom templates
- Write the body of the email in the Message field.
You can also add custom elements to the email by clicking + Custom element. These will be replaced with customer-specific values in the actual email.
- Customer Name
- Inserts the customer name
- Customer Number
- Inserts the customer number
- Reply To Contact
- Inserts the contact name
- Reply To Email
- Inserts the contact email
- If you need exemption information from the customer, you can add a link to the email.When the customer clicks the link, the Exemption Wizard or PDF Upload tool will open in a new browser tab. You can read more about these tools in this article.
- Select Include Exemption Wizard link if you want the customer to upload exemption data.
- Select Include PDF Upload link if you want the customer to upload a PDF of the certificate.
- Select No Link Included if you do not need information from the customer.
- Enter the email signature.
- If you want to add your company logo to the email, select Include company logo, then upload an image file with your logo.
- Select the customers you want to send the email to. When you are finished, click Next.
- To manually add customers, select the box next to each customer name in the list, then click the plus (+) icon to add the selected customers to the recipients list. You can filter out certain customers by clicking Filters.
- To upload a list of customers, click Upload then select the CSV file that contains the customer numbers. The maximum number of customers you can upload this way is 1000.
- To test the email before you send it, click Test and enter the email addresses for the test email, then click Send.Note: Links to the Bulk PDF Upload tool or Exemption Wizard sent in test emails are placeholders and not linked to these tools. You can read more about these tools in this article.
- If the email looks good, click Send.
