Manage invoices

After you add returns to the Filing Calendar and set up workflows, you can import invoices. Imported invoices can be edited, deleted, or exported for data analysis, tax calculation, reconciliation, or audit purposes.

View invoices

Learn how to view invoices using the Invoices overview and Invoice details view tabs.

The Invoices page has two tabs which allow you to view invoices differently:

Invoices overview
Default view, which shows each invoice uploaded within the chosen period, including details such as invoice number, company code, and VAT amount.
Invoice details view
Shows every transaction and the information imported along with the invoice, and it also allows you to edit the invoice details.
  1. Go to Invoices > Invoices
  2. To filter the invoices shown on the Invoices overview page, you can select a different period or click the Filters icon and use the available filters.
  3. To go to the Invoice details view page, click the Invoice details view icon.

Import an invoice

  1. Go to Invoices > Invoices
  2. Click Import.
  3. On the sliding panel, click Browse and select the file to import.
  4. Select an import profile in the import profile dropdown.
    Note:

    You can import .csv, .txt, .xls, .xslx, and .xml files.

  5. Select the companies associated with the invoice in the Select companies dropdown.
  6. Under Select options, choose what you'd like to happen if the invoice number already exists.
  7. Click Import.
  8. After the invoice is imported, click Close.

You'll get one of these results:

Processed successfully
Everything was done correctly and all the data was imported.
Processed with errors
Some or all invoices were invalid. See the error log for more information.

Export an invoice for a single month

Exporting an invoice in .xlsx format is useful for data analysis, reconciliation, audit purposes, or to calculate taxes for a specific month.

  1. Go to Invoices > Invoices
  2. To filter the invoices shown on the page, you can select a different period or click the Filters icon and use the available filters.
  3. Select one or more checkboxes, or select all using the checkbox at the top.
  4. Click Export. Then, select Download as .xlsx.

Export an invoice with advanced filters

Advanced export has added filters and specified period settings, which are also useful for data analysis, reconciliation, audit purposes, or to calculate taxes.

Advanced export only lets you export files that contain up to 500,000 rows.
  1. Go to Invoices > Invoices
  2. To filter the invoices shown on the page, you can select a different period or click the Filters icon and use the available filters.
  3. Select one or more checkboxes, or select all using the checkbox at the top.
  4. Click Export. Then, select Advanced export.
  5. Select one or more countries and company codes. Then, select the date range using Reporting Start Date and Reporting End Date.
  6. Click Download as .csv.

Edit invoice details

.

All fields are editable except for Company code.

CAUTION:

If you edit the Original VAT Code Used field, it might also change your custom VAT Code depending on your translation table.

  1. Go to Invoices > Invoices
  2. Click the Invoice details view icon.
  3. To filter the invoices shown on the page, you can select a different period or click the Filters icon and use the available filters.
  4. Click Edit.
  5. Double-click one or more fields to edit them. Then, click Save.

Delete invoice details

CAUTION:

Deleting invoice details is permanent and can't be undone.

  1. Go to Invoices > Invoices
  2. To filter the invoices shown on the page, you can select a different period or click the Filters icon and use the available filters.
  3. Select one or more checkboxes, or select all using the checkbox at the top.
  4. Click the Delete the selected invoice details icon.
  5. Click Delete to confirm and insert a reason for deleting the item.
    Note:

    You can find deleted invoices and their reason on the Invoice Audit Trail page.

Import a JSON file

Manually importing a JSON file is a good alternative if you can't import them through the API.

You can track JSON imports on the API Log page, and you can see the imported data on the Invoices and Past Imports pages.
  1. Go to Tools > JSON Import
  2. Drag a JSON file or click Browse and select a file.
    Tip:

    To remove the selected file and start the import process again, click Reset or the Delete icon near the file name.

  3. Select a method from the dropdown. Then, click Import Data.
