Work with FTP logs

Sovos offers a secure way for customers to import files using the FTP (File Transfer Protocol) import feature.

In the FTP File Log page, you can view a log of your imported files, check if they were correctly uploaded, or if they failed to upload and why.

Note: If you need to upload a file using the FTP import feature, contact the Customer Service at

europesupport@sovos.com.

Find and filter FTP logs

Statuses:

Failed
The file processing encountered an error or did not complete successfully. Possible reasons include invalid file format, missing data, server or system issues, or other errors such as the file name doesn't match the import profile name. Files marked as Failed usually require investigation, resolving the issue, and attempting processing again.
Processed
The file has been successfully uploaded without any issues. Once a file is marked as Processed, it's considered done and no further action is needed.
Processing
The file is currently undergoing various stages of processing, such as data validation. Files in the Processing status are still in progress and have not yet been completed. They may transition to either Processed or Failed once processing is finished.
New
This status indicates that the batch is being read for the first time. It receives the New status before the import begins.
  1. Go to Invoices > FTP File Log.
  2. Use the available filters to find specific FTP logs:
    Columns
    Use the Columns icon to show or hide columns, or to display them in a different order.
    Filters
    Use the Filters icon to search for specific FTP logs.
  3. Click the file you imported to the FTP server to open the FTP Log Details sliding panel and access the time stamp, file name, and status.
    Note: The rows in the table are arranged from most recent to least recent.

Resubmit FTP files

Sometimes imported files don't get processed due to certain errors, so you need to be resubmit them.

  1. Select the checkboxes next to the files you want to resubmit.
  2. Click the Resubmit  icon.
    After you resubmit a file, your records for that file are overwritten.
  3. Click the new file to check its status.

Export FTP logs

Export the FTP logs to analyze data or share them within your company.

  1. Select the Filters icon if you want to narrow down the list of FTP files.
  2. Select Export.
An .xls file will be downloaded containing your filtered data.
