Monitor documents

Compliance Network lets you monitor your electronic invoices as they move through the process.

In this section, you'll learn how to use the following features in the Issued or Received tab's document tables:

  • Customize the way documents are shown in the tables.

  • Search for and filter documents.

  • Customize the table columns.

  • Create and manage a custom view based on the current filters and columns.

  • Find and download a document.

  • Download multiple documents at once.

  • View invoice details.

Customize the document tables

You can customize the document tables through the Compliance Network toolbar.

These are the available features for customizing the Issued and Received tab's document tables:Viewing the Compliance Network Issued tab toolbar

Creation date start and end
Sort the table by selecting a creation start and end date for an issued or received document. To do this, click on the calendar icon and choose a range of dates. You can also click on the Last Day, Last Week, and Last Month buttons as a shortcut:

The date range can't exceed more than 31 days.

All transactions statuses
A transactions status is used to indicate whether an issued or received document transaction is still pending, successful with no errors, failed with errors, or manually authorized with error exceptions. To filter the table by transaction status, click the All transactions statuses dropdown and select the status you want displayed in the table.

To filter the table by document status, click the All documents statuses dropdown and select the document status you want displayed in the table.

All rejection codes
Rejection codes are specific to country and document type. To filter the table by rejection code, click the All rejection codes dropdown and select the rejection code you want displayed.
Current or Archived
Click the Current or Archived buttons to display documents that are live and active in Compliance Network or documents that are archived in the system.

Search bar
To search and sort by invoice number, click the Search icon and type in the document invoice number.

Visibility
A tool for turning on or off columns in the table. See the Customize columns section for more details.
Filters
Filter documents by specific column fields. See the Filter documents section for more details.
Views
Create a color coded custom view that lets you save your current filters and columns. See the Create and manage custom views section for more details.
More options
Click the More icon to change the row layout of the table to Compact, Standard, or Comfortable. You can also select Reload to show the most recent data on the table, or Export CSV to download a selected document(s). See the Download documents section for more details.

Customize columns

Learn how to customize columns for the Compliance Network Issued and Received document tables with the visibility tool and other options.

Before using the visibility tool, there are several other ways to customize columns. In the Issued and Received tab's document table, click the Menu icon beside each column field to customize that column. These are the available options for each column:

Sort column by ASC or DESC
You can sort the table in ascending or descending order by any column. To do this, click the Menu icon next to the name of each column and select Sort ASC or Sort DESC.
Pin a column to the left or right
To pin a column to the left or right of the screen, click the Menu icon next to the column name and select Pin right or Pin left. Click the pinned column's Menu icon again and select Unpin to unpin the column.
Filter
Brings up the filter menu. See the Filter documents section for more details.
Hide or show columns
To hide or show a column, click the Menu icon next to a column name you want to hide or show. Then, select Hide column or Show column to hide or show the column.
Manage visibility
Other options are to access the visibility tool from a column field's Menu icon. You can also use the toolbar action Visibility icon at the top right of the document table.
Move a column
To move a column to a different position in the table, click and hold on the column field. Then, drag the column left or right on the table. You can also adjust the order in the Visibility panel.
  1. Go to All Countries on the Compliance Network main screen and select your country tile.
  2. Select the Issued or Received tab on the country screen.
  3. Click the Visibility icon on the toolbar above the document table:

  4. Click the blue toggles on the right to turn the corresponding column fields on or off.

    Click the Hide/Show all toggle to turn all column fields on or off. To rearrange the columns, you can also drag and drop columns by clicking on the column name and moving it up or down in the list.

Filter documents

Learn how to add new filters to the document table in the Issued and Received tabs.

  1. Go to All Countries on the Compliance Network main screen and select your country tile.
  2. Select the Issued or Received tab on the country screen.
  3. Click the Filters icon on the toolbar above the document table:

  4. Click the Field dropdown and select the column field you want to filter.

    The Operator and Value inputs change depending on what column field is selected.

  5. To add multiple filters, click Add new and select a new column field.
  6. Click Clear all to clear all current filters.

Create and manage custom views

Learn how to create and manage custom views for Issued and Received document tables.

A view lets you save the current filters and columns, so you don't need to customize them again in the future. Every time you customize the Issued or Received document tables, you should update your custom view.
  1. On the Compliance Network main screen, go to All Countries and click your country tile.
  2. On the country screen, click the Issued or Received tab.
  3. Click the Views icon on the toolbar above the document table:

  4. Click New view to create a new view.
    Note:

    The Default view, which is automatically created by Compliance Network, is always blue and can't be edited.

  5. Enter a custom name, then select a color by clicking the Pick color icon.
  6. Click Save.

  7. To update your new view after making any changes to the columns or filters, click the Views icon.
  8. Click the Edit view icon next to your custom view.

  9. Update the name or color. Then, click Save.
  10. To delete a custom view, click the Views icon.
  11. Click the Edit view icon next to your custom view.

  12. Click Delete.
  13. In the pop-up, click Delete to confirm the change.

Download documents

Learn how to download single or multiple invoice documents for Compliance Network.

There are two different download delivery methods for documents through Compliance Network: synchronous and asynchronous downloads. Both ways depend on the number of documents shown on the table and the amount of documents selected.
Note:

The default document table shows 50 items. The amount shown can be changed at the bottom of the table to either 20, 50, or 100 documents at a time.

When the document table shows 20, 50, or 100 documents, and all the documents are selected on the first page, it's a synchronous download and a .csv file is downloaded immediately. When there are more than the amount of documents shown on the first page selected, it's an asynchronous download and the files are delivered to the Downloads page on the Compliance Network main screen.
  1. On the Compliance Network main screen, go to All Countries and click your country tile.
  2. Select the Issued or Received tab on the country screen.
  3. On the left side of the document table, select the checkboxes for each invoice document you want to download.
  4. Click the More icon next to the amount of documents selected for other selection options.

  5. To take bulk actions on your selected documents, click the Actions icon next to the number of selected documents.
    Bulk actions include options such as download table, cancel document, and bulk edits.
  6. To download your selected documents, hover over Download Table and select CSV or XLSX for a .csv file or .xlsx file.
    Note:

    Downloaded CSV files contain two additional columns for error information that are not available on the document table. These columns are Error codes and Error descriptions. If a document has more than one error, the error messages are added together to the same cell and separated by a vertical line ( I ).

  7. When you select more documents than appear on the document table's first page, a CSV Download or XLSX Download pop-up opens. Click Continue to make your download available in the Downloads page.

  8. On the main screen, go to the Downloads page.
  9. Find your download.zip and click the file name to download your documents.

View invoice details screen

You can view invoice details for every document in Compliance Network.

Click on an invoice in the Issued or Received document table to view details on that particular document. This is the information available on the invoice details screen:

Banner
The banner color at the top of the screen changes depending on the status of the document:

Example: Green for authorized

Header
The Header tab displays important information about the invoice, such as the sender and receiver, systems, addresses, and IDs. The rows can be expanded to show more details about the document:Expanded header for invoice details
Related transactions
Related transactions shows any invoices that are directly related to the currently selected invoice and their status.Related transactions for an invoice on the invoice details screen
Status
Status shows a time-stamped workflow of the invoice document going through the Compliance Network system. Any color-coded authorizations or errors are displayed in the flow.Current status for invoice on the invoice details screen
History
The History tab shows the same system process updates as the status section, but includes the Compliance Network user account related to the invoice.History tab on the invoice details screen
Attachments
The Attachments tab shows what files are related to and attached to the invoice document. You can download each file separately.Available attachments for an invoice on the invoice details screen
Messages
The Messages tab shows any posted messages from the sending or receiving tax authority.Posted messages for an invoice in the invoice details screen
More options
Click the More button to access individual actions for current selected invoice. You can also refresh the invoice details screen, or use the arrow icons to go to the previous or next invoice.More options for an invoice on the invoice details screen
