Monitor documents

Compliance Network lets you monitor your electronic invoices as they move through the process.

In this section, you'll learn how to use the following features in the Sent documents or Received documents tables:

  • Find and download a document.

  • Download multiple documents at once.

  • Customize the way documents are shown in the tables.

  • Create and update a custom view based on the current filters and columns.

  • Edit a custom view's name or color.

  • Delete a custom view.

  • Find and download a transaction.

Find and download a document

  1. Go to Documents on the navigation menu.
  2. Select Sent or Received from the drop-down menu.
  3. Use the available filters to find a document:

    Date filter
    Choose from All dates, Today, Last 7 days, Current month, Last 30 days, and Current year.
    Search
    Use this icon to search for a specific document number.
    Filters
    Use this icon to search using different fields.
    Views
    Create or select a previously created view to show only documents that match certain criteria.
    More options
    Use this icon to change the row layout of the table to Compact, Standard, or Comfortable. You can also select Reload to show the most recent data on the table, or Reset filters to undo all applied filters.
  4. Click a number in the Document number column to see the Document details page:

    Seller
    The seller's name and tax ID number.
    Buyer
    The buyer's name and tax ID number.
    Issue date
    The date when the document was issued.
    Due date
    The date when the document is due.
    Amount
    The total amount for the document in the document's currency.
    Life cycle status
    The current status in the document's life cycle.
    Tax authority status
    The current tax authority status.
    Life cycles
    The different events related to the document. You can use the filters to show All or only activities related to actions taken by the Tax Authority, the Buyer, or the Seller. In addition, you can download or get the detailed view of some life cycles by hovering over each item and selecting the corresponding button.
    References
    The list of additional documents linked to the main document.
    Email e-invoicing
    Lists the email messages sent to users with a link to this document. Exclusive to customers using the Sovos Email e-invoicing outbound product.
    Attachments
    Any document attached to the main document. It may or may not be one of the referenced documents.
    Preview button
    Preview the complete document in the Sovos (internal) format.
    Up and down arrows
    Click to move between the available documents.
    Interactive document view
    Located on the right side of the page, it allows you to see and interact with the document in a small size, or preview the complete document in the Sovos (internal) format. To view the document in another format, select the down arrow next to Open and choose from the available options.
    Document details
    The transaction ID, file name, number, document type, creation date, issue date, due date, and the amount in the document's currency.
  5. Click Download to get the document in the original format.
    Note: To download the document in other formats, click the down arrow next to Download. You can then select one of the available formats.

Download multiple documents

  1. Go to Documents on the navigation menu.
  2. Select Sent or Received from the drop-down menu.
  3. Click the top checkbox to select all documents from the first page, or the checkboxes next to each document to select individual documents:

    Note: You can select up to 25 documents to download at one time.
  4. Click the download icon and choose one of the available formats.

Customize the document tables

These are the available features for customizing the Sent documents or Received documents tables:

Sort by a column
You can sort the table in ascending or descending order by any column. To do this, click the arrows next to the name of each column:How to order a column
Pin or unpin a column
To pin or unpin a column as the first column (left) or the last column (right), hover over the column name and click More options.
Hide or show columns
To hide or show a column, click the Columns icon. Then, toggle the switch of the column you want to hide or show. You can also show, hide, or reset all columns using the corresponding buttons.How to hide or show columns
Note: You can't hide columns with switches that are to the right and grayed out. The switch will not toggle to the left as these columns are required.
Move a column
To move a column to a different position in the table, click the Columns icon. Then, drag the column up or down.How to move a column to a different position in the table
More options
Click the More options icon to change the row layout of the table to Compact, Standard, or Comfortable. You can also select Reload to show the most recent data on the table, or Reset filters to remove all applied filters.

Create and update a custom view

A view in Compliance Network lets you save the current filters and columns, so you don't need to customize them again in the future. So, every time you customize the Sent documents or Received documents tables, you should update your custom view.
  1. Go to Documents on the navigation menu.
  2. Select Sent or Received.
  3. Click the Views icon:

  4. Click Create.
  5. Enter a custom name, then select or type a color code.
  6. Click Save.
  7. To update your new view after making any changes to the columns or filters, click the Views icon.
  8. Click the Save icon next to the custom view.

Edit a custom view

Note: The Default view, which is automatically created by Compliance Network, can't be edited.
  1. Go to Documents on the navigation menu.
  2. Click Sent or Received.
  3. Click the Views icon:

  4. Click the Edit icon next to your custom view:

  5. Update the name or the color. Then, click Save.

Delete a custom view

  1. Go to Documents on the navigation menu.
  2. Click Sent or Received.
  3. Click the Views icon.
  4. Click the Edit icon next to the custom view.
  5. Click Delete.
  6. In the pop-up, click Delete to confirm the change.

Find and download a transaction

  1. Click the Settings icon.
  2. Go to Transactions on the navigation menu.
  3. Select Documents or Life cycles. Then, use the available filters to find a transaction:

    Date filter
    Choose from Today, Last 7 days, Current month, Last 30 days, and Current year.
    Search
    Use this icon to search for a specific transaction ID.
    Columns
    Use this icon to show or hide columns, or to display them in a different order.
    Filters
    Use this icon to search using different fields.
    More options
    Use this icon to change the row layout of the table to Compact, Standard, or Comfortable. You can also select Reload to show the most recent data on the table, or Reset filters to undo all applied filters.
  4. Click the ID in the Transaction ID column. This will show the Transaction Details page, with details such as the Exchanged Format Type and the Processing Logs.
  5. To view more details and download any documents or life cycles from the transaction, click the specific item inside the transaction tree:

    Note: You can also go to the Document Details or to the Life Cycle Details page from within a transaction. After selecting a specific document or life cycle in the transaction tree, click View. Then, you can download it from the loaded page.
  6. Click Download to download the transaction file.
