Learn what each field means when you add a return on the State and Local Returns page.
Filer information
- Legal entity

The name of the legal entity that this return is filed for.
- State tax registration number

The number assigned by the state's tax authority when you registered to collect sales tax.
- Local registration ID
- The ID assigned by the local tax authority when you registered to collect sales tax.

- State

This field displays only when more than one location reporting method is available for this return.
- Select Additional filing to file a separate copy of the return for each location.
- Select Outlets to file one return that lists all locations together.
- Due date

The day of the month by which the return must be submitted to the tax authority. Sales Tax Filing automatically assigns the due date based on guidance from tax authorities, but you can enter your own due date.
- Effective month / Effective year

The month and year that you begin filing this return.
- Expiration month / Expiration year

The month and year that you will stop filing this return. You should only complete these fields if you know that you stop collecting and remitting taxes in the jurisdiction on a specific date. Otherwise, select No end date.
- Threshold amount

Some tax authorities do not allow businesses to file paper returns with zero amount due. To file this return only when the amount due is greater than zero, select Return has a threshold and enter the minimum amount.
Location codes
This section only displays for certain returns.
- Location codes

If you selected Apply location codes, enter the location code for each location and click Add.
- Preference nickname

Enter a name that identifies the return for this set of locations. For example, if your registration for this return is for a specific city, you can add all your location codes for that city and then enter the city name as the nickname.

Select Yes if the tax authority requires prepayments for this return. This field is available only after you select a return, and only for returns that accept prepayments.
- Auto-Balance

Select this option to reconcile gross amounts across jurisdiction levels. Sales Tax Filing will automatically adjust the tax amounts by fractions of a cent so that the gross amounts for the individual jurisdictions add up to the total tax amount. The total tax amount on the return will not change.
Additional information
- External vendor ID

A value that identifies this return in an external system, such as your ERP or third-party vendor software. This field is for reference only and does not affect how the return is filed.

Your tax ID numbers for the state and local jurisdictions. You need a tax ID for each jurisdiction where your organization collects and pays taxes.

- Select Additional filing to file multiple copies of the return.
- Select Outlets to file one return that includes multiple locations.
- Location Codes

If you selected Use location codes, for each location that you will file the return for, enter the location code in the field and click Add.
Related Forms
Some forms, like prepayments or sub-schedules, can only be filed in conjunction with another form. If the return must be submitted together with a related form, that form will appear in this section. You can also select a sub-schedule from the dropdown menu.
Login Information (Optional)
If the return is filed online via EDI or webfiling, you can store the login information for the tax authority's website in this section. This information will be displayed when you file the return.
Customize Workflow
You can assign a user to each workflow step in the filing process for the return. If you do not assign a user to a step, Sales Tax Filing will use the default assignee from the Workflow page.
