Manage two-factor authentication

Two-factor authentication adds a second verification step during login to keep your account secure, even if your password is compromised.

All users are prompted to set up two-factor authentication during their initial account setup. We strongly recommend enabling two-factor authentication to protect your account. Two-factor authentication is now an industry standard security practice. With account security features like two-factor authentication, Sovos helps keep your account secure, protects your privacy, and keeps you in control of your information.

Each time you log in, you'll receive a security code via email, phone, or authenticator app. This ensures that even if someone knows your password, they can't access your account without your device.

You can enable two-factor authentication during or after setting up your account.

Best practices:
  • Set up two-factor authentication on multiple devices when possible.

  • Use an authenticator app that syncs across devices, for example, Authy, or 1Password.

  • Enable cloud backup in your authenticator app if available.

  • Save your setup key code and backup codes in a secure password manager during initial setup.

Set up two-factor authentication during account setup

Download an authenticator app to your device, such as Microsoft Authenticator, Google Authenticator, Authy, 1Password, or Duo Mobile. The app must support Time-based One-Time Passwords (TOTP).

You are prompted to set up two-factor authentication during your initial account setup. After confirming your password and clicking Continue, you are redirected to the Protect your account with two-factor authentication (2FA) page.

Tip: Enabling two-factor authentication is optional during account setup, although recommended to protect your account. You can also set it up later in your profile settings.
  1. On the two-factor authentication setup page, click Get started.
  2. On your device, open the authenticator app.
  3. Follow the instructions to add a new account, then when prompted, scan the QR code displayed on your screen.

    If you can't scan the QR code, manually enter the setup key code in your authenticator app.

  4. In the Device name field, enter a name to identify your device (for example, "iPhone" or "My Android Phone").
  5. In the Device code field, enter the six-digit verification code from your authenticator app.
  6. Click Complete setup.
  7. On the success page, click Continue to log in to your Sovos product.

You can turn off two-factor authentication at any time in your profile settings.

Set up two-factor authentication after account setup

Download an authenticator app to your device such as Microsoft Authenticator, Google Authenticator, Authy, 1Password, or Duo Mobile. The app must support Time-based One-Time Passwords (TOTP).
  1. Go to Sovos Home.
  2. On the login screen, enter your email and password, then click Log in.
  3. Click the Profile icon containing your initials, then select Profile.
  4. On the next page, click Security on the menu.
  5. On the Security page, in the Two-factor authentication section, click Set up.
    The two-factor authentication settings option is displayed.
  6. On your mobile device, open your authenticator app.
  7. Follow the instructions to add a new account, then when prompted, scan the QR code displayed on your screen.

    If you can't scan the QR code, manually enter the setup key code in your authenticator app.

  8. In the Device name field, enter a name to identify your device (for example, "iPhone" or "My Android Phone").
  9. In the Device code field, enter the six-digit verification code from your authenticator app.
  10. Click Done.
In the Two-factor authentication section of the page, the Two-factor authentication is on status indicator and the Turn off 2FA button are displayed.Two-factor authentication is enabled for the account.

You can turn off two-factor authentication at any time in your profile settings.

Turn off two-factor authentication

You'll need the following to complete this task:

  • An active Sovos account with two-factor authentication enabled
  • Your account credentials (email and password)

Two-factor authentication adds an extra layer of security to your Sovos account by requiring a one-time code from an authenticator app in addition to your password. Sovos strongly recommends keeping two-factor authentication enabled to protect your account's security.

If you no longer want to use two-factor authentication, you can turn it off from the Security page in your profile settings.

  1. Go to Sovos Home.
  2. On the login screen, enter your email and password, then click Log in.
  3. Click the Profile icon containing your initials, then select Profile.
  4. On the next page, click Security on the menu.
  5. On the Security page, in the Two-factor authentication section, click Turn off 2FA.
    A dialog displays asking you to confirm that you want to turn off 2FA.
  6. Review the warning message, then click Yes, turn off 2FA.
    CAUTION: By turning off 2FA, a one-time password (OTP) is no longer required to log in to Sovos. This reduces your account's security.

Two-factor authentication is now turned off for your account. A confirmation message indicates that two-factor authentication is off. The next time you log in, you only need to enter your email and password.

Troubleshoot two-factor authentication issues

Authenticator app setup issues

Your six-digit authentication code is not working
  • Make sure your time and date are accurate. This is usually the most common issue.

  • Wait for a new code. The code changes every 30 seconds.

  • Double-check that you entered all six digits correctly, without spaces.

  • Try manually entering the setup key if QR scanning failed.

  • If these steps do not work, check your authenticator app's knowledge base for app-specific troubleshooting tips.

Authenticator app issues
  • Verify you've downloaded a compatible Time-based One-Time Password (TOTP) authenticator app:

    • Google Authenticator

    • Microsoft Authenticator

    • Authy

    • 1Password

    • Duo Mobile

  • Ensure your phone's camera can clearly scan the QR code.

  • Try closing and reopening the authenticator app.

  • Check that you are using the right account in your authenticator app if you have multiple accounts.

Lost access to the device with the authenticator app

You lost your phone, switched devices, or deleted your authenticator app
  • Try any backup methods you may have set up previously. For example, most authenticator apps provide a backup code or token that can be used to reinstate two-factor authentication. Follow your authenticator app instructions.

  • Contact your administrator, who can reset your two-factor authentication.

  • Contact Sovos Support, using this form.

  • After support resets your two-factor authentication, you'll need to set it up again on your new device. For setup steps see Set up two-factor authentication after account setup.
