Set up the Filing Calendar

Users, Account Managers, and Account Administrators can view, add, edit, and delete filing preferences in the Filing Calendar.

Find a filing calendar setup

Learn how to find a filing calendar setup in VAT Filing.

  1. Go to Settings > Filing Calendar Setup.
  2. Use the available filters to narrow your results.
    Columns
    Click the Columns icon to show or hide columns, or to display them in a different order.
    Filters
    Click the Filters icon to search for a specific filing calendar setup.
You'll see a list with only the filing calendar setup entries that match the selected filters.

Add a filing calendar setup

Before you can start filing, you must add your filing calendar setup to the Filing Calendar. When you import your invoices, the relevant transactions from those invoices are added to the returns and the filing process begins.

  1. Go to Settings > Filing Calendar Setup.
  2. Click Add.
  3. In the Basic Information section, fill in these fields:
    Company & VAT Group
    A company or a VAT group.
    Country
    One of the countries available after selecting the company or VAT group.
    Return Type
    The type of return available after the selecting the country.
    Start date
    The month and year the return is (or was) first due.
    End date
    The final month and year the return is due.
    No expiration
    If there is no end date for the return, you can select this option instead.
  4. In the Returns Period section, fill in these fields:
    Returns Frequency
    Select Monthly or click the Customize checkbox to view more options.
    Due Date
    If you click the Customize checkbox, you can select the day (1 to 28), or the last day of the month.
    Note:

    If you select the monthly returns frequency without selecting the Customize checkbox, it defaults to 25 days.

    Due Month
    If you click the Customize checkbox, you can select from one to 12 months following the end of the period.
  5. In the Customize Workflow section, you can select these options for each step in the return workflow.
    Deadline
    The number of days left until the due date for a specific return step. For example, if you select "1" as the Complete step's deadline, the return will need to be in the Complete workflow step one day before the return filing is due.
    Important:
    You can only add deadlines to your filing calendar setup if you:
    • Add deadlines to all return steps.

    • Sort the deadline numbers in ascending order.

    Assignee
    You can enter an assignee to one or more return steps. Adding an assignee to a workflow step will ensure that the person is notified of changes in the return's status and deadlines.
  6. Click Save.

Edit a filing calendar setup

  1. Go to Settings > Filing Calendar Setup
  2. Select a row from the table.
  3. Edit the filing calendar setup as needed. Then, click Update.
    Note:

    You can add, change or remove the expiration date, and you can also change the Deadline and Assignee fields from the different workflow steps.

Edit multiple filing calendar setup entries

Note:

Before you can bulk edit multiple filing calendar setup entries, contact Support to enable this feature in your account.

  1. Go to Settings > Filing Calendar Setup.
  2. Select a specific filing calendar setup, or select all using the checkbox at the top.
  3. Click the Edit rows icon.
  4. Make changes to the Deadline and Assignee fields from the different workflow steps.
  5. Click Update.

Delete a filing calendar setup

Learn how to delete a filing calendar setup in VAT Filing, so you'll no longer see it on your Filing Calendar.

When you no longer need to file a return that's on your Filing Calendar, you can either delete it or change its end date.

If you change the end date, the return remains on the Filing Calendar, but no tasks are created for any periods after the end date. If you delete the return, previously completed filings remain in your account, but you will no longer see the return on your Filing Calendar.

Note:

Deleting a return is permanent and cannot be undone. While completed filings will be saved on the Returns page with a Complete status, filings in other workflow steps will be lost. If you want the return to be available in your account, instead of deleting it.

  1. Go to Settings > Filing Calendar Setup.
  2. Select one or more filing calendar setup entries, or select all of them using the checkbox at the top.
  3. Click the Delete rows icon.
  4. Click Delete to confirm.
