Map and validate files for OSS/IOSS Managed Services clients

This task details how to map columns for OSS/IOSS uploaded data files.

After you upload a file, the mapping screen shows how the column names in the client's data file map to the column names in the application. If the columns do not match, then you can manually map the columns.
Note:

Not all client columns are necessary for mapping. Mandatory fields that are not mapped are shown on the screen.

  1. Check the Hide Mapped columns box to show only columns that are not matched.
  2. Click Select a field to show which mandatory fields are not currently mapped after uploading your file.

    Once all fields are mapped, the column mappings are saved.

  3. Go to Settings > Column lookup to see which client columns are mapped to Sovos columns.
    1. Click the X next to a column to remove that mapping, then click Save.
    2. Click Reset to reset the column mappings to the default settings.
  4. Once all fields are mapped, click Continue to upload the file.

    The Data page displays the file status as "Validating."

  5. Refresh the page and the status will change to "Awaiting review" once validation is complete.
  6. Click Update to see the validation results.
  7. Click Filter by status to view only errors or warnings.
    Note:

    You must fix red errors before the file is processed further.

  8. Once all errors are fixed, click the Process button.
  9. The Data page updates the file status to "Processing."

    The status will change to "Ready for filing" when it is done processing.

    1. An email is sent to confirm that the file is being processed with a direct link to the Comments page.
    2. Once processed, another email will be sent to the client and Managed Services notifying them of the file status change.
  10. Click Exit to go back to the Data page when you are finished.
Managed Services will be notified that the file is ready for filing and further analysis. When Managed Services files the return, they will comment on the file and the client will receive an email with the required next steps.
