Sales Tax Filing Services 5.0 changes
You can now review and approve your tax data before it is added to returns.
Sales Tax Filing 5.0 changes how your data flows into the filing system. You can now review and approve your tax data before it is added to returns on the new Tax Summary Review page each month before it flows into Sales Tax Filing. Data is also aggregated before it is added to returns, which reduces data volume and improves performance.
How data flows into Sales Tax Filing
Data no longer streams directly to Sales Tax Filing after it is saved in Tax Determination or uploaded through Batch Determination. Instead, Sales Tax Filing processes your data on a day you choose, based on the date type and date range configured in your settings. Your tax totals by state and legal entity will be listed on the new Tax Summary Review page, where you have 24 hours to approve or reject the data before it is added to returns. If you do not act within that window, your data is automatically approved.
If you find issues with your data after it has been added to returns, you can delete the data on the Tax Summary Review page. After the data is deleted from Sales Tax Filing, you can replace it with corrected data or update your data processing settings.
- Processing date

The processing date is the business day when Sales Tax Filing pulls in your data from Tax Determination or Batch Determination each filing period. Your preparer will set the processing date for each legal entity in your legal entity settings.
Note:You do not need to update the processing date every month unless your data availability date shifts from month to month.
Tax Summary Review page
After Sales Tax Filing processes your data, the Tax Summary Review page lists aggregated tax totals by state and legal entity. You have 24 hours to review the data and take action. The 24-hour window starts at 11:00 PM ET on the processing date.
From the Tax Summary Review page, you can take the following actions for each state:
- Approve

Approve to send the data to the Sales Tax Filing database. Allow 15 to 30 minutes before moving returns to Adjust. If you move returns to Adjust before the sync completes, the amounts will be $0. Roll the returns back to Ready and re-advance after the sync completes.
- Reject

Reject within 24 hours if the data is incomplete or incorrect. Rejecting data prevents it from being added to returns and prompts you to identify and resolve the problem before resyncing.
- Delete

Delete incorrect data after it has been added to returns. Roll back all returns for the affected state to Ready first. Deleting data removes it from the Sales Tax Filing database only. It does not remove data from Snowflake or Tax Determination. If you delete and resync without uploading corrected data first, the same data will return.

Data aggregation
Sales Tax Filing aggregates your data before adding it to returns. Transactions within a filing period that share the same values combine into a single line item.
Each aggregated line item receives a unique aggregate transaction ID. You can use this ID to trace transactions back to the original invoices in the Compliance Detail Report. Individual invoice numbers are no longer displayed in Sales Tax Filing.
Lines from the same invoice do not necessarily share the same aggregate transaction ID. State tax and city tax on the same invoice, for example, aggregate separately because they differ by tax name.
- Why Sales Tax Filing aggregates data

Aggregating data reduces the volume of data in the system, improving performance when moving returns through the workflow, editing return worksheets, and holding and releasing data. It also means fewer line items to review in Sales Tax Filing, as transactions that share information are now grouped into a single line.
- Historical data

As part of the 5.0 release, the last 13 months' data and all existing data on hold were aggregated retroactively. Returns from previous periods now display aggregated transactions.
Data older than 13 months can be aggregated on request. Create a support case with at least one to two business days of lead time.
What is not changing
Approving data on the Tax Summary Review page does not approve or advance returns. Your preparer will move returns through the workflow stages and send your returns and reports through the STS Portal.
You can still delete transactions in return data or data on hold. Use the Tax Summary Review page when you need to replace an entire state's data for a period.
