Sovos e-archive GUI

To access stored invoices, customers can use the Sovos e-archive GUI.

Accessing the Sovos e-archive GUI

When enabling a company, a relative section URL is returned as output from the API request. This relative section URL is defined as /archive/[Client Area]/[Company].

The syntax of the complete URL to the Sovos archive GUI is [Archive GUI base URL]/archive/[Client Area]/[Company].

Note:

The base URL is communicated out of band.

Let's suppose, for example, that:

  • The archive GUI base URL is https://twa-test.trustweaver.com/ta_custweb.

  • The client area is Hub1.

  • The company is Company1.

Using that example, the relative URL returned from the EnableCompany operation is /archive/Hub1/Company1. and the complete URL to the Sovos e-archive GUI becomes https://twa-test.trustweaver.com/ta_custweb/archive/Hub1/Section1/.

The super administrator credentials returned from the API call to enable the company can be used to log in to the Sovos e-archive GUI using the complete URL.

Note:

After the first login, the SuperAdmin is forced to change their password.

Single Sign On

Sovos e-archive supports Single Sign On (SSO). However, this is not a standard functionality and thus custom configuration is needed. Reach out to the Sovos Support team to learn about the possibilities.

Roles

Each user can have one or more of the following roles:

SuperAdmin

There is only one super administrator account, so this role can't be assigned to a user account. While enabling a company, the credentials for this role are returned in the output of the request. The super administrator role has the following permissions:

Password management
Changes the super administrator password.
User management
Creates user accounts and manages existing ones.
Administrator

The administrator can create and manage accounts using the event auditor or the user roles. Only the super administrator can assign the administrator role to a user account.

Event Auditor
The event auditor has access to event logs, which show all the events other users generated. This includes password changes, logins, user creations, and user deletions.
User

The user role is the only role that can use the invoice search function. When an administrator assigns the user role, they can set an invoice search start date and end date, so that the user can only see invoices in the specified period. If the administrator doesn't set a start and end date, then the user has access to the whole archive.

Users with the user role can search invoices with different metadata such as the invoice number and the VAT number in the Find invoices field. However, they can only use metadata to search invoices if this has been specified within the Standard Business Document Header (SBDH) sent to Sovos or at a later stage by updating the invoice.
