Use an Excel import template to create multiple tax forms at once in eFileMyForms. You can use eFileMyForms's sample import templates or your own Excel file.
Before importing forms from Excel, make sure you have:
You have two options for preparing your import file:
-
Use an eFileMyForms sample template
- Download a pre-formatted template with all the correct column headers. This option works best with the Auto Map feature.
- Use your own Excel file
- Format your existing spreadsheet with column headers in the first row. You can drag and drop headers to map them to form fields during the import process.
- On the home page, click New Import.
The Import Forms page opens with the current tax year selected.
- Click the form type you want to import.
-
Popular forms such as 1099-NEC, ACA, 1099-MISC, and W-2 appear at the top. Expand the sections below for additional form types including the 1099 series, 1042-S, 1098, 5498, and W-2G forms.
-
If you want to import forms for a previous year, click the year first, then select the form type. Not all form types are available for every year.
-
If you are reporting income from federally tax-exempt interest, follow the steps in the Report federally tax-exempt state interest income article.
- Optional: Enter a label for your import in the description field.
Adding a label helps you identify this import later, especially if you have multiple imports or need to reset or void an import.
- Go to the Select a Filer tab and select a filer option.
- If your filer is already in eFileMyForms, select the filer from the dropdown list.
- If your filer is not in the list, or if you have multiple filers in your import file, select Read From Import File. Your import file must include filer information in this case.
- Prepare your import file using one of the following options:
-
Download a sample template: Click Sample Import Files to download a template with form data columns only. If you selected a filer in the previous step, use this template to import your filer data for each form along with the form data. Click Sample Import Files with both the Filer and Form data if you selected Read From Import File.
-
Use your own Excel file: Make sure your file has column headers in the first row. Each column header represents a field category such as recipient name or TIN. Each row after the first row represents one form. Rows with no information are ignored during import.
Tip:
The sample templates include a second tab with a key that describes each field, including character limits and links to detailed field documentation. Required fields are highlighted in red in the template.
- Fill in your import file with recipient and form data.
For individual recipients, enter both first name and last name. For companies, enter only the company name in the last name field.
- Click Choose File and select your Excel file.
- Click Submit.
The Map Form page opens, displaying your column headers on the left and the form fields on the right.
- Map your Excel column headers to the form fields.
- If you used an eFileMyForms sample template, click Auto Map. The system automatically maps your headers to the correct form fields.
- If you used your own column headers, drag and drop each header from the list to the corresponding field on the form (highlighted in blue). You can also try Auto Map if your headers closely match the standard format.
Note:
Always review your mapped fields to make sure the data is matched correctly, especially when using Auto Map with custom headers.
- When you finish mapping, click Submit.
The Summary page displays your import results, including:
- Total number of records imported successfully
- Records imported with validation errors or warnings (such as missing TIN or name)
- Records rejected from import
The Details section lists specific issues that could cause IRS/SSA filing errors, rejects, or mailing delivery problems. Review and correct any errors before filing. If all records are rejected, the import fails.
After a successful import:
- Click Add all forms to cart to proceed to checkout, or click Home in the menu to view the imported forms on the home page.
- Click Import History (or select it from the menu) to review your imports. The history shows the import name, file name, form type, tax year, upload date, status (Complete, Failed, or Canceled), and record counts including imported, invalid, and rejected records.
